Terms & Conditions of Booking
- Space Application / Allocation - Submitting a completed booking form is a necessary pre-requisite for an application to exhibit within the BIG BANG at Wales Rally GB. Exhibitors will be notified within 10 working days of receipt of a completed booking form regarding acceptance status. Stands are assigned subject to availability. The Organiser reserves the right at any time to re-arrange the space layout or allocation. Please give as many exhibit details as possible.
- Exhibitor Cancellation - Once the booking form has been received and accepted, any Exhibitor who subsequently decides for any reason to withdraw from the event shall immediately inform the Organiser in writing.

Change of Date or Venue / Event Cancellation - The Organiser reserves the right at any time to change the date and/or venue of the Event or to cancel it altogether if they deem it necessary by reason of fire, flood, extreme weather conditions, acts of war or violence, malicious damage, explosion, earthquake, strike, civil disturbances, political unrest, riot, labour dispute, power cuts or any other cause beyond the Organiser’s control; or if the Organiser for any other reason deems it necessary or advisable. In such cases, the Exhibitor waives any and all claims they might have against the Organiser for refunds, damages or expenses.
Set up, manning and removal of Exhibits information to be announced.
- Equipment - Any electrical equipment or appliances which the Exhibitor proposes to use for the Event requires a current Portable Appliance Test (P.A.T.) certificate.
All stands, fittings and materials which the Exhibitor proposes to use for the Event must be fire-retardant in accordance with the appropriate legislation.
The Organiser reserves the right to require the exhibitor to remove anything from its stand which is not appropriately certified or which it deems unsuitable, in its absolute discretion. The Exhibitor will indemnify the Organiser against all actions, costs, claims and demands in respect of any breach of the provisions of this clause.
- Safety - The Exhibitor shall observe all current Health & Safety legislation and co-operate with the Organiser in ensuring that the Event is a safe, secure and healthy environment for all Exhibitors, Visitors and Staff who attend or work at the Event.
The Exhibitor is responsible for the safety of their stand and their own Public Liability insurance, as well as cover for any stock and equipment. Exhibitors will be required to supply, on demand, a copy of their Risk Assessment and Insurance Certificate.
- Liability - The Organiser assumes no liability for loss, damage or disappearance of any property used by the Exhibitor in connection with their participation in the event. The Exhibitor agrees to assume risk of loss for its property or any other items relating to its participation in the event and agrees to waive any and all claims and hold the Organiser harmless from and against any loss of, damage to, or disappearance of such property or items. Although the Organiser make every attempt to ensure literature is correct when going to press, it will not be liable for any printing error appearing in any literature associated with the event.
- Subletting - No part or whole of any exhibition space may be sublet by the Exhibitor without the prior written permission of the Organiser.
- Disturbances - The Exhibitor must ensure that any sound coming from their stand is kept to a volume that does not cause any annoyance to other exhibitors. In case of any disputes, the Organiser’s decision is final.
- Breach of Terms and Conditions - If the Exhibitor is in breach of any of the Terms and Conditions contained herein, the Organiser reserves the right, without notice to the Exhibitor to offer the stand to another company or use it in any manner it deems fit.
- Insurance - Without limiting any obligation(s) under this Agreement, the exhibitor shall procure and maintain at its own expense and throughout the Term, the following minimum levels of Insurances:
(a) Public Liability - £5,000,000 any one claim
(b) Employers Liability - £10,000,000
(c) Any other insurances required by law
The company must provide copies on request of the certificate of Insurance and policy details, together with evidences that the premiums payable under such policies have been paid and the insurances are in full force and effect in accordance with this condition.
The organiser shall maintain appropriate public liability insurance.
- Force Majeure - Neither Party shall be responsible, nor be deemed to be in default in the performance of its obligations hereunder due to causes which are beyond its control and unforeseeable including without limitation unforeseeable acts of God, war, civil war, terrorist attacks or threats, any act of government or local authorities including police authorities, boycott and embargo, which may result amongst other things, in the cancellation of the Event, or any part thereof, or in the re-scheduling or in the move from one venue to another. Each Party shall as soon as practicable after becoming aware of any event or likely event falling within the provision of Section 6.3, notify the other Party of such event and of the probable extent thereof and shall: (a) as soon as practicable after the removal of such event resume its performance under this Agreement; or (b) implement any alternative reasonable solution which may be discussed and agreed among the Parties in order to permit the obligations to continue to be performed. If such event of force majeure affects a substantial part of the obligations of a Party for a continuous period of 30 days, then either Party may elect to terminate this Agreement upon notice to the other Party, in which case, each Party shall be released from any obligation without either Party incurring any liability to the other Party.
