Article 13 of the UK GDPR requires that a Privacy Notice be provided to individuals informing them of the information below relative to the processing of their personal data. Please use this template to populate your service/section privacy notice information which can then be translated and transcribed prior to publishing.

The reason (purpose) it is necessary to process your personal data is:

It is a requirement of the Electoral Commission that Conwy undertake a Polling District and Polling Place Review every 5 years, and it is a requirement that we publish all correspondence and submissions sent to the (Acting) Returning Officer in connection with the review which will include the correspondent’s name.

The personal data that will collected and processed is:

Names, organisation, address.

What is the lawful basis for the processing?

The lawful bases for processing are set out in Article 6 of the UK GDPR. At least one of these must apply whenever you process personal data:

(a) Consent: the individual has given clear consent for you to process their personal data for a specific purpose.

(c) Legal obligation: the processing is necessary for you to comply with the law (not including contractual obligations).

(e) Public task: the processing is necessary for you to perform a task in the public interest or for your official functions, and the task or function has a clear basis in law.

(f) Legitimate interests: the processing is necessary for your legitimate interests or the legitimate interests of a third party, unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests.

Racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person's sex life or sexual orientation.
